Events Co-ordinator

Hours: 22.5 per week ideally across 4/5 mornings a week

This is an exciting role working in the busy team that manages events for a busy & prestigious school. You will support a wide range of events including Speech Day, Sports Day, Open Mornings, Prep School Events, Workshops, Conferencing and lectures. Our client is seeking an enthusiastic candidate with excellent organisational skills. Ideally you will already have events experience to draw from.

As the Events Co-ordinator you will be responsible for:

  • Event planning and co-ordination for lettings and generate enquiries and attend regular calendar meetings
  • Close of events with a summary of budget, recommendations and checking everything was delivered as required
  • Prepare any pre-event materials to include name tags, materials, notebooks, packages, gift bags, registration lists etc.
  • Be the point of contact between relevant departments where appropriate and act as Front of House to welcome visitors and guests for events.
  • Have an overview of the budgets for all lettings events and ensure that expenditure is managed
  • Organisation and implementation of marketing and communications strategy in order to attract new revenues
  • Develop and maintain the Lettings website in order to deal with all incoming enquiries for events
  • Prepare for events using recognised processes
  • Update the appropriate database include; communication with all stakeholders
  • Accurately maintain all information from initial bookings to space, arranging catering, AV equipment if required, travel signage, etc
  • Manage all invoicing of clients
  • Book and arrange cover supervisors for events

The person:

  • Demonstrable experience of hospitality and events
  • Excellent written English and oral skills for drafting and proof reading materials
  • The ability to communicate across all levels ensuring the message is understood by all
  • Excellent organisational skills, particularly in time and task management with ability to keep track of a wide range of events and projects.
  • Able to demonstrate the ability to work to deadlines
  • Computer literate with intermediate experience of Microsoft programmes, MS Word, Excel and PowerPoint
  • Technical awareness of simple AV systems
