I am looking for a dedicated Finance & Contracts Administrator to provide essential support to a Finance & Contracts Managers. This role is perfect for someone with a keen eye for detail and a strong background in finance administration. Day-to-day of the role:
  • Assist the Finance & Contracts Manager with monthly invoicing processes, including verification of timesheets and purchase orders, and raising invoices.
  • Liaise with contractors regarding invoicing instructions, payment schedules and queries.
  • Handle manual and repetitive transactional invoicing.
  • Record financial data such as new deals, permanent placements, and contract extensions.
  • Support the Finance & Contracts Manager with compliance checks and reference requests for candidates.
  • Draft and log contracts and send them to contractors and clients using AdobeSign.
  • Monitor the status of contracts, chase for signatures, and file documents electronically.
  • Regularly check and update the Runners list with new entries and removals as needed.
  • Chase clients for Purchase Orders and log them for invoicing purposes.
Working Week:
  • 4 days per week (24 hours per week), 6 hours per day from 9.30am to 4.00pm (with a half-hour for lunch), or 5 days per week (25 hours per week), 5 hours per day from 9.30am to 2.30pm (with a half-hour lunch) is also feasible.
  • Other part time hours over 4 or 5 days can be discussed.

Required skills & qualifications:
  • Familiarity with foreign exchange and different currency invoicing.
  • Intermediate Excel skills.
  • High level of accuracy and outstanding attention to detail.
  • Excellent communication, multi-tasking, and organisational skills.
  • Experience in finance administration is essential.
  • Familiarity with foreign exchange and different currency invoicing.
  • Experience using accounting software, particularly Sage 50, is beneficial.
  • Experience of AdobeSign is highly desirable.
