Executive Personal Assistant

Job Type: Permanent - Part time

We have a fantastic opportunity for an Executive Personal Assistant to join our head office team based in Luton working for our long established group of companies

Reporting directly to the shareholder Directors the post holder will be involved in every aspect of the day to day workload of the group directors on both a business and personal level. The successful candidate will be self-motivated, methodical, well organised and possess excellent communication skills with the ability to liaise with staff, suppliers, clients, tenants and stakeholders at all levels within the business and the wider arena.


The main duties and responsibilities of the position are to include, but are not limited to:

  • Assisting with the day-to-day tasks and roles of the shareholder directors to ensure that multiple projects continue to meet their required targets
  • Filing
  • Providing administrative support to the wider group as required in times of need
  • Assisting with the set up and implementation of a wide variety of projects, events and initiatives to achieve a major anniversary in 2025
  • Keep the shareholder Directors updated on project progress and follow up tasks aligned to the projects on a weekly basis
  • Managing diaries for the shareholder directors scheduling both business and personal appointments
  • Managing correspondence and phone messages
  • Event planning on both a business and personal level
  • Coordinating schedules
  • Set up meetings, attend and take notes
  • Book business and personal travel
  • Make reservations
  • Place and manage orders and run errands
  • Supervise contractors on both a business and personal basis
  • Manage routine maintenance of property and vehicles on both a business and personal basis
  • Managing issues that arise from above and keeping bookings up to date and organised
  • Maintain weekly and monthly to do lists
  • Manage voluntary interests
  • Assisting with one off business projects - either solely or as part of a team
  • Researching initiatives as designated in order to evaluate potential business benefit
  • Support the Office Manager and cover for holiday and absence

Essential Skills and experiences:

  • Experience in all Microsoft packages
  • High levels of accuracy and attention to detail
  • Excellent communication and organisation skills
  • Understanding of the confidential nature of the role
  • Ability to work both alone and as part of a team
  • Experience of working in a busy office environment with a varied number of roles and responsibilities
  • Car owner required as there will be a requirement to travel to other locations, mostly within a 50 mile radius of Luton.

Desirable Skills and experience:

  • Previous marketing or events management experience would be useful but not essential
