What you can expect

  • Provide executive level administrative support to the Global Head of ESG as she interfaces with clients and business partners up to the most senior levels within the organization and externally.
  • Coordinate multi-stop international and domestic travel arrangements including preparing detailed itineraries and submitting and tracking expenses. Frequently working across multiple time zones.
  • Schedule and coordinate meeting logistics for globally based constituents, including reserving conference rooms, arranging video conference connectivity, international dial in numbers for conference calls, preparing meeting materials and other logistics
  • Secretarial duties for PGIM ESG Council. Tasks include:
    • Preparing agendas and papers
    • Minute taking minutes
    • Start to finish event organizing for the yearly PGIM ESG Council International offsite
    • Following up on PGIM ESG Council actions and cooperate with PGIM businesses and corporate functions to request needed info/intelligence.
    • Create and distribute the weekly ESG media news roundup

  • Email/Calendar management: being a gatekeeper and strict timekeeper
    • Complex management of email account to include filing, prioritizing, clearing daily email influx, maintaining a to do list system and responding to emails on the Global Head of ESG's behalf
    • Follow up reminders on outstanding deadlines
    • First point of contact for effective diary, email, telephone and meetings management.
  • Review of spend posted to ESG cost centre and challenging/adjusting where necessary
  • Perform other administrative duties and special projects as assigned
  • Liaise with the IT department to manage and resolve IT/mobile device issues
  • Work closely with the Global Head of ESG and the ESG team to understand the strategy and initiatives related to the development of ESG capabilities globally
  • Provide support in researching relevant information, e.g. competitor disclosures, working closely with the ESG team to provide support in intelligence gathering and coordinating with other internal parties
  • Using Power Point, help producing materials for the Global Head of ESG's meetings as appropriate, including working with the ESG team, relevant stakeholders within PGIM and compliance to create/edit slides and making suggestions on how slides could be enhanced graphically.
  • Ensuring all materials being released to internal and external stakeholders are up-to-date, accurate and consistent with PGIM's policies and approved templates and standards and are reviewed by compliance/legal as appropriate.
What you will bring

  • Proven experience as an Executive Assistant in a similar role supporting senior level executives within Asset Management
  • Team player with high energy and a positive attitude with the ability to work well with all levels of the organisation;
  • Ability to multi task with the initiative to work seamlessly in a hybrid working environment and with colleagues based in different locations. Confidence to make certain decisions and react to internal and external requests in the Global Head of ESG's absence and know when to reach out to the Global Head of ESG or others to inform and discuss action.
  • Proactive in taking initiative to provide administrative support/guidance where it is needed without instruction and following through; ability to plan and think ahead
  • Ability to work under minimal supervision and effectively prioritise multiple assignments under time constraints
  • Excellent written and verbal communication skills with the ability to maintain close communication with all team members and coordinate all parties (across the organisation and with third parties), foster and maintain effective relationships internally and externally on a local and international basis
  • Strong attention to detail, accuracy and completeness;
  • Proficient use of technology applications through suite of Office 360 applications
  • Analytical, detail-oriented, and thorough professional
  • Ability to manage and prioritize multiple action items at once
  • Proficiency with Microsoft Office applications: especially Excel, Word and PowerPoint
  • Data analysis, including ability to work with large data sets.
