IFA Support Administrator

A skilled and motivated IFA Support Administrator is needed to join the team at this leading wealth management company based in Hove on a part-time basis. You will be expected to work 27.5 hours per week. Full training will be provided.

They are a Hove-based wealth manager with big ideas and a desire to grow. They are looking for a bright and motivated IFA Support Administrator to help them achieve their plans.

Their clients look to them for help managing their pensions and other investments; you will help the advisers and other team members deliver a first-class service. You will also help onboard new investors and look after their current clientele in a compliant and helpful manner. 

This would be an ideal position for an established administrator looking to establish a new career in the sector or for someone with previous experience working for a financial adviser or life/pension provider!

About the Role

The successful applicant will be self-reliant and enthusiastic, with a desire to progress and learn. They need someone who can take responsibility for resolving issues quickly using their own initiative.

No prior experience is necessary, as full training will be provided. However, attention to detail, the ability to focus on a given task, and the flexibility needed to manage a varied workload are required. Communication is all-important, and you must be happy talking to clients and companies.

Key Responsibilities:

  • General office duties include scanning, filing, photocopying and preparing meeting rooms
  • Administrative and PA duties to support financial adviser and paraplanner
  • Liaising with clients and providers by phone, via their secure platform or by email and letter
  • Diligent use of their back-office system to record client details, tasks, plans, etc
  • Processing new business applications, both paper-based and online, then chasing cases through to completion
  • Researching fund performance
  • Processing attitude to risk questionnaires
  • Preparation of illustrations and key features
  • Providing protection and annuity rate comparisons
  • Administering fund switches and portfolio rebalances
  • Producing mailshots. Mailchimp experience would be helpful
  • Completing in-house training

Required Skills:

  • Proficient administrator, organised, with good communication skills
  • Able to work happily within a team and under their own initiative, occasionally under pressure
  • Organisational skills with the ability to prioritise workloads
  • PC literate with the ability to use Word and Excel to a good standard
  • Fluent in written and spoken English with good telephone manners
  • GCSE in Maths and English of C or above

Desirable Skills: 

  • Experience and qualifications in financial services
  • Use of Intelligent Office and familiarity with Aviva/Quilter platforms
  • An ability to help with their social media presence, AI and marketing would be great
  • Experience with CRM systems, PowerPoint and Outlook
  • Knowledge of PC issues and problem-solving, including issues with printers, network connections, reinstalling Windows, etc
