Project Support Officer

Responsibilities as a Project Support Officer

  • Coordinate fieldwork activities with the research team, including scheduling interviews, arranging travel and accommodations, and ensuring fieldworkers have necessary equipment.
  • Develop online surveys using Snap software and collaborate with project managers on survey design.
  • Ensure all reports and deliverables adhere to our House Style and accessibility standards through thorough editing, formatting, and proofreading.
  • Manage the database of customer satisfaction surveys, including distribution upon request from Project Managers.
  • Maintain data security throughout the project lifecycle, including secure data transfers, archiving, and deletion, in collaboration with the Project Manager as needed.
  • Serve as a secondary point of contact for clients and external consultants, offering support and assistance.
  • Organise internal and external meetings to facilitate effective communication and collaboration.
  • Offer guidance and informal training to colleagues on standard MS Office packages and collaborate with PSO and team members to enhance the company intranet.
  • Take proactive initiative in coordinating tendering processes for new projects by sourcing, assessing, and circulating Invitations to Tender, ensuring timely responses.
  • Maintain and update key internal databases, including records of projects, tenders, clients, and contacts, and compile data from company records for business and performance analysis.
  • Provide administrative support for new project bids by gathering relevant company and project information, completing tender forms, editing proposal content, and ensuring submissions align with house style and client criteria.
  • Manage personal work schedule effectively to meet deadlines and responsibilities.
  • Assist the office with administrative tasks as required.
  • Perform additional duties as needed.

Requirements

  • Willing to undergo Disclosure and Barring Service (DBS) check.
  • Excellent communication skills, with internal colleagues and clients.
  • Excellent organisational skills, including ability to work within tight deadlines, and across multiple projects, juggling and prioritising tasks.
  • Highly proficient in MS Word, Excel, PowerPoint. Having a solid working knowledge of Microsoft Teams and SharePoint would be advantageous, as would having the knowledge and ability to prepare reports, charts and presentations to publication standards.
  • Ability/willingness to learn to use new software (with training) as required (e.g database, intranet, online survey software, website).
  • Accurate with close attention to detail and proactive approach

Job Title: Project Support Officer

Location: Brighton (Hybrid available)

Salary: £24,700 - £29,800 per annum (depending on experience)

Full Time: 35 hour week

Permanent or Temporary role (minimum of 6 months)
