Business Administrator

We’re looking for a proactive, organised Business Administrator to look after the day to day running of our client’s office.

Working in a small team, you will assist with payroll and accounts, handle HR issues and oversee administration.

  • Based in Leatherhead
  • £30,000 - £35,000 salary (DOE)
  • 7.5 hours daily, Monday - Friday (can be worked over 4 or 5 days)
  • Hybrid working
  • 27 days holiday + bank holidays

Job Description:

  • Monitoring income and expenditure and questioning any changes in supplier or costings.
  • Reviewing and researching supplier costs to ensure maximum value for money.
  • Processing and paying invoices, paying expenses.
  • Responsibility for efficient and effective day-to-day banking processes.
  • Paying employee salaries whilst ensuring all changes are shared with the accountant.
  • Overseeing and paying travel and other staff expense claims processed on a quarterly basis.
  • Managing and balancing petty cash on a regular monthly basis.
  • Maintain confidential filing, including files for individual employees and clients.
  • Maintain confidential correspondence in relation to individual employees.
  • Ensure Employee Contracts and the Staff Handbook remain relevant.
  • Liaising as appropriate with current HR support and Chief Executive.
  • Maintain annual leave and sickness records for staff.
  • Place job vacancy adverts and organise interview timetables.
  • Arranging and attending bi-monthly board meetings and the production of minutes.
  • General maintenance of conditioning systems, fire alarm system etc for the office.
  • Maintaining levels of and purchasing additional office supplies inc. furniture, water filters.

Person Specification:

  • Experience of managing HR and finance matters for a small business
  • Experience of arranging and attending meetings
  • Good working knowledge of Microsoft Office 365 especially Teams, also, ideally, SAGE
  • Ability to plan and manage workload
  • Ability to deal effectively with changing requirements and pressures
  • Good communication skills
  • Ability to work as part of a team
  • Own vehicle and full UK Driving Licence
