Salary: £40,000 - £45,000 pro rata

About the Role
We’re looking for a highly capable and detail-driven Executive Assistant to help run the day-to-day operations of our Family Office which is based in Notting Hill, London & Los Angeles. Working closely with the principals and key advisors, this is a rewarding opportunity for someone who thrives in a varied, hands-on role and enjoys being the go-to person that keeps everything running smoothly.
You’ll be involved in a wide range of activities, from managing diaries and household admin to bookkeeping, investment coordination, and liaising with trusted external professionals across banking, legal, and accounting.
This role would suit a confident, proactive organiser who’s comfortable working in a discreet, high-trust environment and is happy wearing multiple hats.
Key ResponsibilitiesFamily Office Operations
Manage diaries and coordinate schedules across multiple time zones
Handle day-to-day administration including household budgeting, invoice processing, and bill payments
Support basic bookkeeping tasks, ensuring accurate records of income and expenses across personal and business accounts
Act as a liaison with suppliers and service providers, as well as legal, tax, banking, and accounting professionals globally
Organise occasional events or travel for business and family engagements
Investment & Asset Support
Assist with collating updates from investments and maintaining well-organised records
Support the tracking of new deals and liaise with internal and external stakeholders
Help compile regular summaries and reports (no financial analysis required)
Coordinate with accountants and advisors to ensure records and data are accurate and complete
General Coordination & Compliance
Maintain well-structured digital records and filing systems
Help with data collection and information-sharing for tax return preparation (no direct tax work required)
Keep compliance calendars up to date and support governance or reporting tasks
Previous experience supporting executives, entrepreneurs, or HNW individuals — ideally in a small team or private office setting
A highly organised, discreet, and proactive approach
Comfortable managing multiple tasks and communicating with different stakeholders
Familiarity with basic bookkeeping and financial coordination
Good working knowledge of Excel, Google Workspace, and online document tools
A calm, solutions-focused attitude and the ability to anticipate needs
