OFFICE MANAGER / AUDIO PA ROLE
Shearwater CBS Ltd is a small Chartered Surveying practice looking for a bright, skilled and friendly part time Office Manager / Audio PA to join our office in Letchworth. This is a varied and fast-paced role supporting the Director and managing the office when he is out on site.
Key Responsibilities
- Audio transcription of correspondence and documentation via digital dictation into Word, Excel and Outlook. This comprises a significant proportion of the role.
- Document Production – the production of all documentation including site notes, survey reports, schedules, specifications of work for tender, schedules of dilapidations, party wall awards and notices, certificates, invoices, photographic schedules, spreadsheets.
- Office Management – The role also involves a wide range of clerical and administrative duties to ensure the smooth daily running of the office. These include (but are not limited to) maintenance of paper and electronic filing systems; dealing with email and telephone queries, invoice processing and basic bookkeeping, ensuring stationery is replenished, etc.
Essential Skills & Experience
- Audio typing speed at least 60wpm and similar copy typing speed with highest accuracy
- Excellent attention to detail for proof reading and use of firm’s document referencing system
- MS Office software, in particular advanced level Word and Excel
- Strong Excel essential – our text heavy Excel schedules require extensive data manipulation
- Adobe Acrobat – experience in creating, editing and merging PDFs
- Excellent organisational skills
- Pleasant telephone manner and good interpersonal skills
- Ability to prioritise a heavy workload
- Pro-active, resourceful, self-motivated and able to use own initiative
- Preferably at least 2 years’ experience in a similar or legal secretary role
- Knowledge of surveying terminology and bookkeeping experience an advantage but not essential
Salary: Circa £24k annually based on the equivalent of 3 days (22.5 hours) per week (salary negotiable subject to experience).
Hours: Ideally the following hours but open to discussion for the right candidate:
- Mon & Wed 1pm – 5:30pm (option to work from home)
- Tue & Thu 10am – 5:30pm with 45 min lunch break (in office)
Office Location: Letchworth, Hertfordshire.
Start Date: ASAP to enable suitable handover period with current Office Manager (in office).
