Hours: Mon- Fri 9.30am-2.30pm - Part Time

Overview

Our client is seeking a proactive and highly organised Operations Manager to oversee daily operations, manage customer and supplier relationships, and support business development activities. The role is central to ensuring smooth order management, logistics coordination, supplier communication, product certification processes, and the successful execution of marketing and trade events.

Operations Manager - Key Responsibilities

Customer Order Management: Daily follow-up on customer orders from confirmation to delivery. Tracking logistics and ensuring timely and accurate shipments.

Supplier Coordination (China): Day-to-day follow-up with suppliers in China regarding production, delivery schedules, and quality. Building and maintaining strong supplier relationships.

Product Testing & Certification Administration: Coordinate product testing and compliance with relevant certification standards. Manage required documentation, applications, and communication with certification bodies. Maintain organised records of certifications and expiry dates.

Customer Communication & Marketing: Draft and manage customer mailings/newsletters regarding new products and updates. Support in preparing product presentations and promotional materials.

Financial Administration: Create and manage invoices. Support with basic financial reporting related to sales and trade shows.

Events & Travel: Organise and book trade shows, including logistics, stand setup, and marketing material preparation. Plan and coordinate business trips, including travel arrangements and itineraries.

Administrative & Operational Support: General office management and document preparation. Continuous improvement of processes to support business efficiency.

Operations Manager - Skills & Competencies

  • Strong organisational and time-management skills.
  • Excellent communication and follow-up abilities.
  • Knowledge of Microsoft tools.
  • Ability to manage compliance documentation and administrative workflows. High attention to detail with problem-solving ability.
  • Proactive, flexible, and able to manage multiple priorities independently.

Languages

  • Fluency in English required.
  • Knowledge of French and/or German is a strong advantage.

Qualifications & Experience

  • Minimum 3 years’ experience in a similar role (business administration, operations, or supply chain). Experience working with international suppliers, ideally in China.
  • Knowledge of product certification and testing processes is desirable.
  • Background in customer service, logistics, or trade show organisation is a plus.
