Payroll & Finance Assistant - Deal, Kent/Remote

Keystone Employment Group provides workforce management software and payroll services to a wide range of clients in the higher education sector, with offices in Deal, Kent and King's Cross, London. Our Accounts division, based in Deal, Kent seeks a part time (three days a week) accounts and Payroll assistant.

The role affords remote working, blended with time in our local Deal office. Ideally the role can be completed across Tues/Weds/Thurs each week, as this fits our payroll cycles.

Key Responsibilities

Payroll Management


  • Process weekly payroll using the Opera Pegasus accounting system.
  • Handle all payroll-related requests, including Holiday Pay, New Starter Checklists, P45s, Statements of Earnings, Statutory Sick Pay (SSP), Statutory Maternity Pay (SMP), and Deduction from Earnings Orders (DEAs).
  • Liaise with HMRC to manage tax codes, student loan updates, and RTI (Real Time Information) notifications.
  • Manage the company's pension scheme in line with Auto-Enrolment legislation, including generating reports, uploading files to and from the Pension providers, and resolving queries.
  • Ensure accurate and timely RTI FPS (Full Payment Submission) and EPS (Employer Payment Summary) uploads to HMRC weekly.
  • Perform detailed analysis of payroll wages to prevent over- or underpayments before producing the Bacs.
  • Transfer payroll data from Opera to spreadsheets for client financial analysis and reconciliations
  • Maintain accurate and up-to-date payroll procedures in line with ISO 9001 standards.


Invoicing & Financial Administration


  • Create and process invoices for all company services.
  • Generate invoicing reports and data for management.
  • Manage Sales Ledger credits, debits
  • Handle and resolve all invoice-related queries
  • Perform Credit Control and Credit Checks on clients.


Essential Qualifications & Skills


  • Proven experience in a payroll and/or invoicing role.
  • Proficiency in the Opera Pegasus accounting system preferable but not necessary
  • Strong understanding of UK payroll legislation, including RTI, SMP, SSP, and Auto-Enrolment.
  • Excellent numerical skills and a high degree of accuracy and attention to detail.
  • Proficiency in Microsoft Excel for data analysis and reporting.
  • Ability to work independently and manage multiple tasks effectively.
  • Experience with financial reporting and reconciliation.
