Job Description: Senior Legal PA / Team Administrator
Location
Borehamwood office (primary location), with occasional travel to London offices (Bank or Marble Arch – approx. 9–10 times per year, travel costs covered).

About the Role
We are seeking a highly organised, proactive, and dependable Legal PA / Team Administrator to provide dedicated support to a Partner-led real estate/real estate finance team. This is a long-term, permanent position, ideal for someone who thrives in a busy legal environment, values stability, and enjoys bringing structure and efficiency to high-paced teams.
You will be the primary support for Partner David Merson, his partner Liz, and a small team of senior associates, consultants, and a paralegal. The role is integral to the team’s success – freeing fee-earners from routine administration, ensuring deadlines are met, and keeping matters tidy, compliant, and moving forward.
Key Responsibilities
• Matter administration – file opening/closing, conflict checks, drafting engagement letters, KYC pack coordination.
• Document handling – intake, scanning, digital filing, bundling, archiving, maintaining orderly e-/paper files.
• Companies House & Land Registry – prepare and submit filings/registrations, maintain checklists, chase confirmations.
• Completions & post-completion – assemble completion packs, diarise requisitions, chase responses, update trackers.
• Billing support – draft bills and time narratives, run month-end checklists, coordinate approvals and dispatch.
• Diary & coordination – arrange client calls, meetings, room/train bookings, and team days.
• Quality & process – maintain checklists and SOPs, suggest improvements and small automations.
• Controls – verify bank details, maintain logs for deliveries, filings, and verifications.
• Team support – assist other fee-earners as needed, ensuring fair allocation of tasks.
Essential:
• Minimum 3 years’ experience as a Legal PA/Secretary in commercial property/real estate law.
• Familiar with Land Registry and Companies House processes.
• Strong organisational and time-management skills, with proven ability to handle multiple tasks under pressure.
• High attention to detail, accuracy, and follow-through.
• Clear written English, confident communication, and professional phone manner.
• Advanced MS Office skills; comfortable with digital filing systems and PDF tools.
• Proactive, discreet, and unflappable with good judgement.
Desirable:
• Experience supporting more than one fee-earner.
• Light drafting experience (LOEs, KYC requests, standard chasers).
• Basic spreadsheet skills for logs and trackers.
Working Pattern & Flexibility
Preferably 5 days per week (some flexibility on daily hours, e.g. 9:30–3:30 / 9–4 / 9–5).
Possible 4 full days per week if candidate is highly suitable.
1 day per week WFH (likely Wednesday). Must be commutable to Borehamwood.
