This company is seeking a highly organised and proactive Finance Assistant to support their growing finance and operations team. In this role, the Finance Assistant will play a vital part in maintaining accurate financial records, processing transactions, and supporting daily office operations. The successful candidate will have a keen eye for detail, strong administrative skills, and experience using Xero Accounting Software.

Key Responsibilities:

  • Purchasing & Data Input: Enter supplier invoices and reconcile purchase ledgers within Xero. Match and process purchase orders accurately. Reconcile supplier statements and resolve discrepancies.
  • Purchase Order Management: Create, track, and manage purchase orders across projects. Liaise with the team to ensure PO compliance and approval workflows are followed.
  • Invoicing & Credit Control: Prepare and issue customer invoices in line with project milestones. Monitor accounts receivable and chase outstanding payments in a professional manner. Support monthly reporting and cashflow forecasting.
  • Payroll & Employee Set-Up: Manage the full payroll and staff data management. Maintain employee records, ensuring accurate and timely updates for new starters and leavers.
  • Payment Runs: Prepare supplier payments and weekly payment schedules. Ensure payments are authorised in line with company policy and correctly posted to Xero. Maintain accurate bank reconciliations and transaction records. Process VAT returns.
  • Office Administration and other duties: Provide general administrative support to the team. Handle incoming calls, emails, and correspondence. Support the smooth day-to-day running of the office. Use Xero to produce financial reporting. Liaise with the external Accountant for end-of-year submission.

About You:

  • Proven experience in a finance or accounts role.
  • Competent user of Xero Accounting Software (essential).
  • Strong numeracy and accuracy skills.
  • Excellent organisation and time management abilities.
  • Good working knowledge of Microsoft Office (Excel, Word, Outlook).
  • Clear communicator with a professional and proactive attitude.
