  • Contract: Permanent, Full-time, Monday -Friday, 8am-5pm/ Some flexibility and our client would consider part-time. Part-remote option available.

Our Client:

Our client is a highly established and specialises in delivering and maintaining integrated security systems for leading companies in the UK and across Europe, Middle East & Africa. They are an energetic and creative team with their head office being based in Welwyn Garden City, Hertfordshire. As they continue to expand at this exciting time of growth they are looking for Operations Support individual to join their busy team and support the engineers.

Job Role:

The role of Operations Support is broad and covers various duties, which includes providing support to the Operations Management team. This includes, but is not limited to, supporting management with resource, sub contractors, recruitment and ongoing training requirements for their employees. The management team will support you in all areas, but you should be able to work independently to the expected level.

Job Duties:

  • Supporting the Operations Management team with the coordination of key tasks to ensure successful contract and project delivery.
  • Link in with relevant team members, Project Managers on resource planning as needed.
  • Manage Resource Inbox to ensure all requests for engineering resource from the Project Management team are met in a timely manner.
  • Track and update Planner / Shifts daily ensuring team members are aware of their upcoming schedule or any changes that have been made.
  • Obtain quotations from engineering sub-contractors for requested labour.
  • Obtain approval from Operations Manager for sub-contract labour quotations and organise orders through Purchasing Dept.
  • Ensure travel requirements are requested where there is a need; flights, hotel etc.
  • Liaise with new sub-contractors from initial contact to onboarding.
  • Liaise with Screening Coordinators on progress of security screening of new sub contractors and employees.
  • Assist with recruitment processes where required.
  • Initial contact with employment agencies and applicants for upcoming vacancies. Schedule 1st and 2nd interviews with relevant parties
  • Work with the Operations Manager to schedule any regular client meetings such as weekly/monthly/quarterly.
  • Attend meetings remotely/in person as needed.
  • Track training program for Inspired team members, ensuring certifications do not expire.
  • Liaise with Training Coordinator and training providers to book and schedule courses. Any other duties that are deemed necessary in line with the role.

Responsibilities:

  • Comply with our clients Policies and Procedures to ensure they comply with relevant Standards for their industry and IT functions and Standards for their industry (NSI Gold).
  • Follow standard procedures for proper escalation of unresolved issues to the appropriate internal teams.
  • Provide prompt and accurate feedback to customers and management.
  • Ensure proper recording, closure and management of issues and tasks.
