Are you a people-focused professional with a knack for organisation and multitasking? We’re looking for a proactive Receptionist / Room Hire Coordinator to join a busy and supportive team in a vibrant business centre environment.
Key Responsibilities:
Reception Duties:
Welcome visitors and manage the main reception desk.
Handle incoming calls and messages professionally.
Manage mail, keys, fobs, and access cards.
Maintain accurate client records and assist with general office tasks (e.g. scanning, photocopying).
Order stationery and manage miscellaneous post.
Room Hire Coordination:
Schedule and confirm meeting room bookings.
Prepare rooms to client specifications including layout, signage, and IT setup.
Arrange catering and refreshments within required timeframes.
Raise purchase orders and issue invoices weekly.
Maintain booking diaries and update relevant departments.
Promote room hire services at networking events.
Ensure audit-ready documentation and system records.
Additional Duties:
Provide admin support across departments.
Cover other centres or roles during staff absence or busy periods.
Assist facilities team with general tasks.
What We’re Looking For:
Experience in a customer-facing role, ideally in reception or facilities.
Strong organisational and multitasking skills.
Confident communicator with a professional telephone manner.
IT proficiency (Word, Excel, PMS/database systems).
Understanding of basic invoicing and purchasing.
Flexible, team-oriented, and proactive approach.
