Job Title: Operations Manager

Reports to: CEO

Responsible for: Administrator

Salary: £17,100 - £18,000 – 18,000 pro-rated for 3 days per week FTE £28,500 - £30,000

Hours: 3 Days per week (Part Time, On-site role)

Contract: Permanent

Location: Across South and North London sites (regular travel required)

Start date: ASAP

Closing date: Sunday 23:59pm Sunday 16th November 2025.

Role Purpose

The Operations Manager is responsible for overseeing and managing the charity’s day-to-day operations across both London sites.

This includes facilities management, HR and compliance, CRM systems for volunteers and clients, finance administration, health & safety, and communications.

Main Duties and Responsibilities

1. Operational Management

  • Oversee and manage the day-to-day running of both offices, ensuring inclusive and effective working environments.
  • Manage facilities, opening/closing procedures, supplier relationships, and maintenance.
  • Oversee health & safety compliance and contribute to risk management and business continuity planning.
  • Coordinate staff rotas, equipment, and administrative systems that support equitable service delivery.
  • Manage supplier and contractor relationships to ensure fair practice and value for money.

2. People & HR Administration

  • Oversee and manage HR processes, including recruitment, induction, supervision records, and leave tracking.
  • Maintain accurate and confidential personnel files, DBS checks, and safeguarding records.
  • Support wellbeing and belonging initiatives, creating a positive working culture.
  • Coordinate volunteer administration and rota systems in partnership with Counselling Managers.

3. CRM & Data Systems

  • Oversee and manage the charity’s CRM database for both volunteers and clients, ensuring accessibility and data integrity.
  • Ensure that data is handled with care, in line with GDPR and trauma-informed principles.
  • Produce and review reports for funders and Trustees, highlighting service impact.
  • Support colleagues with CRM training and troubleshoot data or systems queries.

4. Finance & Administration

  • Oversee day-to-day finance processes, including invoices, petty cash, and procurement.
  • Support budget monitoring, forecasting, and grant compliance with the Finance Officer/Treasurer.
  • Contribute to the preparation of funder and project reports, ensuring data and outcomes are accurate.
  • Oversee administrative systems that promote transparency and efficiency.

5. Health, Safety & Compliance

  • Act as and manage the organisation’s Health & Safety Lead across both sites.
  • Oversee all risk assessments, accessibility audits, and safety checks to ensure staff and clients feel secure.
  • Ensure that policies on data protection, equality, and safeguarding are inclusive and regularly reviewed.
  • Maintain a central register of compliance actions and policy review dates.

6. Communications & Engagement

  • Oversee and manage internal and external communications, ensuring that messages are inclusive and accessible.
  • Coordinate newsletters, website content, and social media updates in collaboration with the Director/CEO.
  • Gather stories and feedback from clients, volunteers, and staff to celebrate achievements and learning.
  • Champion the organisation’s values and voice in all communications.

7. Systems, IT & Asset Management

  • Oversee and manage IT systems, equipment, and software licences.
  • Maintain an asset register and plan for repairs or replacements fairly and efficiently.
  • Lead on projects that improve systems and processes, ensuring all staff are supported during change.
  • Promote digital inclusion and ensure all tools are accessible to staff and volunteers.

8. Governance, Policy & Reporting

  • Oversee operational policies and procedures, ensuring they reflect our inclusive and trauma-informed values.
  • Support the Director/CEO and Trustees with operational and data reports for Board meetings.
  • Contribute to policy updates, risk management, and decision tracking.
  • Ensure that all operations align with the charity’s strategic plan and legal responsibilities.

9. General

  • Represent the charity professionally and with empathy at all times.
  • Supervise and support administrative staff, encouraging development and collaboration.
  • Contribute to management meetings and cross-team planning.
  • Undertake any reasonable duties required to ensure the safe and effective running of the organisation.

Person Specification

Qualifications & Experience

Experience overseeing or managing operations, HR, facilities, or office management in a charity or similar setting.

Experience managing multiple locations or small teams.

Experience managing CRM systems or databases for volunteers or clients.

Knowledge of HR, compliance, and health & safety processes.

Experience supporting grant or project reporting.

Knowledge & Skills

Excellent organisational and time-management skills.

Understanding of equality, diversity, and inclusion principles.

Knowledge of GDPR, safeguarding, and charity compliance frameworks.

Strong IT skills (Microsoft 365, Teams, SharePoint, CRM).
