Office Manager & Patient Coordinator

  • Salary: £35,000 - £38,000 FTE
  • Location: Sawston 
  • Job Type: Part-time (Monday, Thursday, Friday | 8:30am – 5:00pm)

Our client is seeking a highly organised and proactive Office Manager to lead the day-to-day operations of their Sawston office. This role also includes responsibilities as a Patient Coordinator, ensuring their private patients receive a personalised and supportive experience throughout their treatment journey.

Day-to-day of the role:

Office Management

  • Lead the daily operations of the office, ensuring a professional, efficient, and welcoming environment.
  • Supervise and support all staff, both admin and clinical including scheduling, task delegation, and performance oversight.
  • Monitor office resources and liaise with suppliers to maintain stock levels and equipment functionality.
  • Ensure compliance with health and safety regulations and internal policies.
  • Coordinate internal communications and team briefings to maintain alignment on service standards and operational updates.
  • Support onboarding and training of new staff members.
  • Act as the first point of contact for internal queries and escalate issues appropriately.
  • Maintain accurate records and contribute to audits, quality improvement initiatives, and clinical governance activities.

Private Patient Coordination

  • Serve as the named contact for private patients, providing continuity and reassurance throughout their care journey.
  • Meet and greet patients, offering a warm and empathetic presence during appointments and procedures.
  • Handle telephone and email queries with professionalism and sensitivity.
  • Conduct reminder and post-operative follow-up calls to ensure patient wellbeing.
  • Manage appointment bookings, patient records, and payment processing.
  • Liaise with consultants to ensure timely and accurate sharing of patient information.
  • Ensure all clinic correspondence is sent out promptly and accurately.
  • Respond to patient queries and complaints with tact, diplomacy, and kindness.

Required Skills & Qualifications:

  • Proven experience in office or team management, ideally in a healthcare or customer service setting.
  • Strong leadership and organisational skills.
  • Excellent verbal and written communication abilities.
  • Empathetic and patient-focused approach.
  • Ability to manage a busy and varied workload with calm efficiency.
  • Proficient in Microsoft Office and confident in learning new systems.
  • Self-starter with initiative and a collaborative team spirit.
  • Committed to delivering consistently high standards and continuous improvement.
